This month we are spotlighting the SharePoint Connector! Discover how integrating SharePoint into your Workato recipes enables automated document management, content collaboration, and file-driven workflows, helping you eliminate manual file handling, ensure data consistency across platforms, and accelerate content-driven processes.

๐Ÿ“„ What is SharePoint?

SharePoint is a web-based collaboration, document management, and storage platform integrated with Microsoft Office. It enables organizations to manage content, knowledge, and applications from a centralized system while supporting team collaboration across departments and locations.

With Workato's SharePoint connector, you can automate workflows triggered by file uploads, list updates, and folder changes, as well as sync documents and metadata across SharePoint and your broader enterprise stack. The connector uses the SharePoint REST API v1 and supports both polling and real-time triggers across libraries, lists, and folder hierarchies. The result: faster document processing, reduced manual data entry, and stronger governance over enterprise content.

๐Ÿ’ก Sample Use Cases

  • Document-Driven Employee Onboarding (Automatically generate and route onboarding documents between SharePoint and Workday when new hires are added)

  • Contract and Agreement Management (Sync signed contracts from DocuSign into organized SharePoint libraries for centralized storage and tracking)

  • IT Request Attachment Sync (Route attachments from ServiceNow tickets into SharePoint folders for consistent documentation and audit trails)

  • Project File Notifications and Approvals (Trigger Slack notifications and approval workflows when new files are uploaded or updated in SharePoint)

  • Customer Data Archival and Reporting (Archive customer records and reports from Salesforce into SharePoint for long-term storage and compliance)

  • Compliance Document Tracking (Sync compliance-related documents between SharePoint and Jira to keep audit and remediation workflows aligned)

Recipe to Get Started:

๐Ÿ’ก Common Questions & Tips

  • Q: What types of SharePoint content can I automate with the connector?
    A:
The connector works with SharePoint libraries, lists, files, and folders. You can trigger workflows when files are uploaded or updated, search and manage list items, upload and download files, retrieve file and folder details, and manage permissions, all across any site in your SharePoint environment.
  • Q: Does the connector support real-time triggers?
    A:
The connector offers both polling triggers and folder hierarchy triggers. Polling triggers check for new or updated files at set intervals, while folder hierarchy triggers monitor entire folder structures for changes. Each new or updated file is processed as a separate job.
  • Q: What permissions and authentication setup is required?
    A:
You need an Azure account with a registered app that has the correct SharePoint REST API permissions assigned in the Azure Portal. Workato supports Authorization Code Grant, Client Credentials Grant, and Password Grant authentication. You'll need to generate a Client ID and Client Secret and configure the appropriate delegated or application permissions based on your auth type.
